What do you write under a bad review?
We thank them, acknowledge the specific problem, say what happens next, and invite them to sort it with you directly — 40 to 80 words, calm and human. We never argue, never blame the customer, and never quote terms and conditions at anyone. The reply isn't really for the reviewer — it's for the hundreds of strangers who read it afterwards and judge how you handle things.
What if the reviewer was never a customer at all?
We never say someone was or wasn't a customer in a public reply — that's Google's rules and basic privacy, and "we have no record of you" reads terribly anyway. The reply stays professional either way. If a review looks fake, we flag it to you and report it through Google's own removal process.
Do I approve every reply?
You approve the tone once, at the start — that's the point of paying us. The exceptions always come to you first: any threat of legal action, anything about injury or safety, an accusation of fraud, or a long, detailed one-star that deserves your eyes. Nothing like that gets posted without your say-so.
How do you get access? Do you need my password?
Never your password. Google Business Profiles have a built-in Manager role — you add us by email invitation, and we send the exact clicks. You remain the Owner, you can see everything we post, and you can remove us in one click the day you fancy doing it yourself.
Do you buy reviews, or only ask the happy customers?
No, and no. Review requests go to every customer you tell us about — same message, same link, the unhappy ones included. Filtering ("review gating") is against Google's rules and gets profiles penalised; it's also just dishonest. We'd rather the report shows you what people actually complain about, so you can fix it.
Can I cancel?
Any month, from a link in any email we send. Stripe handles it — no phone call, no "retention offer". And your profile is yours: if you remove us, everything we've posted stays put.
Who am I dealing with?
A small independent outfit — no agency layers, no account managers, no ticket queue. We work for UK businesses only. The same people look after your profile every month, and an email gets a written answer the same day: support@texttheoffice.co.uk.
Do I have to use the review requests?
No. It is included, not required. Some customers only want the replies handled. Nothing is sent to your customers unless you submit a number.
